Global instant employment verification— applicant declaration of consent

This declaration outlines the consent that you provide to Zinc Work Limited (“Zinc”) to conduct an employment verification check through the government payroll database in your country of residence. By submitting this form you confirm that you have read and agreed to the terms of this document.

Privacy Policy Declaration: 

You confirm that you have read the Zinc Work Limited Privacy Policy and that you understand how and why your personal data will be processed for these checks.

Data processing and retention:

By entering your details into the Zinc Service you give our checking partner, Mistho,  permission to retrieve data on our behalf and relay said data back to us (for further information please see Mistho’s Privacy Policy here). Once the data has been relayed to us Zinc shall use the data to conduct an Employment Verification check using the government payroll database in your country of residence. Once the check has been completed Zinc will share a copy of the results with the original requesting partner (for example, your prospective employer). 

Zinc collects the types of data set out in Clause 1 of our Privacy Policy. In order to allow candidates to reuse the Zinc platform, Zinc permanently retains your name, email address, the status of a specific check(s) that we carry out on you and your identity data. You may ask us to delete your personal data, or may any other request in line with Clause 8 of our Privacy Policy and we shall ensure that your personal data is entirely removed from our system. In line with the principle of data minimisation and limitation Zinc conducts annual data reviews and in the event of inactivity on your account for a continuous period of two years Zinc shall contact you and inform you that your data shall be automatically deleted following a further period of inactivity lasting not longer than 12 calendar months.

Other than the data mentioned in the paragraph above, Zinc deletes all other data after 60 days. During that 60 days it is encrypted and stored via MongoDB Atlas. After 60 days it is completely removed from the Zinc system and all of our subprocessors.  As mentioned above, you can request a permanent and entire deletion of your data at any time.

Why do we retain some data beyond 60 days?

As a candidate you are being asked to use the Zinc Service by an employer or some other equivalent organisation. In this scenario your employer is acting as the data controller and Zinc is acting as the data processor on their behalf. We retain certain pieces of data because in some circumstances your employer and Zinc will become independent data controllers. This could happen in various situations, for example if you use the Zinc Service as a candidate at the request of your employer and you subsequently cease working with that employer but choose to store your background checking data through Zinc with the intention of subsequently reusing it at a later date. In this circumstance, Zinc would act as an independent data controller whilst you store your data on our platform.  

You are not obliged to reuse your data through Zinc and you can opt out anytime by contacting our DPO, hamraj@zincwork.com and making a complete data erasure request.

Consent to Checks:

I hereby give explicit consent for Zinc to process my personal data as referred to above and for an Employment Verification check to be conducted. 

Further, I hereby give explicit consent for a copy of these checks to be provided to the original requesting partner. I understand that Zinc is in no way responsible for the content or accuracy of the checks.

Declaration by the applicant: 

I have provided complete and true information to Zinc in support of my application and I understand that knowingly making a false or misleading statement or omission for this purpose may be treated as a criminal offence.
