Background check experience
When you’re a fast-moving fintech company, two things are important for your background checking process: compliance and automation.
But before Zinc, the team at Pleo struggled with both.
Working across multiple countries, they had to comply with local regulations in all the different places they hired — regulations that didn’t stay the same across borders. Whether it was keeping track of documents or constantly-shifting requirements, their People Operations team was left fighting fires and couldn’t be proactive. Unclear processes meant that they didn’t have set steps for escalations or random right to work (RTW) checks.
Plus, it was too manual. Checks weren’t automatically stored, and there was no single source of truth — when a team member left, it wasn’t easy to find checks for previous hires. If something was wrong with documents or checks, communication went back and forth between the talent partner and the candidate until it was resolved, which could take days or weeks.
Their old provider didn’t give them an account manager, so they had no one to answer their questions. And without an overview of all their checks, they couldn’t see the big picture.
The team at Pleo needed three things:

- To reduce manual intervention through automation

Results

With Zinc, the team trusts the background check process and knows that if something is flagged, it’ll be clear and easy to understand. They don’t have to chase candidates for documents, and background checks are simply a part of the automated pre-employment flow.
Thanks to their integrations with Greenhouse and Slack, starting a Zinc check is seamless. Candidate data from Greenhouse feeds directly into Zinc, so they don’t have to re-enter it, and checks automatically start as soon as the candidate is hired. There are pre-defined check packages for every type of role that they run, eliminating guesswork about what’s required. When the check is finished, a notification pops up in their Slack channel.
“With Zinc handling our background checks, we have full confidence in the process,” said Pepa. “We know everything is being tracked, and we’ll be alerted right away if anything needs our attention.”
It’s seamless for candidates, too. Simon Koniarek, the Senior People Tech Engineer responsible for looking after the Zinc and Greenhouse integration, was also one of the first candidates to go through the new-and-improved process. “It was so convenient,” he said. Past background checking experiences had felt like a “never-ending back-and-forth,” but the process with Zinc took 15 minutes. “It was smooth and very straightforward,” said Simon.

Thanks to the automations, the talent acquisition team has been able to focus on finding great candidates and less time asking the People Operations team questions about background checking. Now, People Operations is focused on building better foundations for the team overall: updated templates and contracts, and all the things they couldn’t do when they were putting out fires.
