HiBob Integration Updates: 2022
Our HiBob integration has been extremely popular since launching. We had an oversubscribed beta version and glowing feedback on the integration. As always, at Zinc, we want to build the best background checking software that works for you - and that means constantly improving our offerings.
So, we’re excited to announce that we’ve released version 4 of the HiBob integration with a new set of features.
Some of the key features in this release include:
- See failed HiBob uploads in Zinc: Seamless communication between Zinc
- and HiBob means that you no longer have to manually check if documents have uploaded successfully. If there are any failed uploads, you’ll see them directly in Zinc so you can take action quickly.
- Upload right to work data: Faster workflow: Take right-to-work documents from Zinc direct to HiBob.
See failed HiBob uploads in Zinc
Any HR integration should allow you to access data easily from both sides. When uploading candidates from Zinc to HiBob, you'll now see feedback within Zinc for any failed attempts. Managing the uploads centrally from your Zinc account. you’ll see a green success or grey retry icon by your candidate's name if we’ve tried to upload to Bob and the status is pending.
Upload right to work data
With the new right to work laws in 2022, automate your compliance and workflow and push these documents direct from Zinc to HiBob. Zinc has partnered with Onfido which can be used as your Identity service provider, (IDSP) to verify any form of right-to-work documents.
Have document files automatically uploaded to HiBob when background checks are done. We’ll also notify you of a flag if there are any expiring visas or restrictions to work.
How to set this up:
Follow these steps to get the integration setup initially:
Add these text fields to your background check section if you would like to add Right to work information to Bob:
- RTW Status
- RTW Document type
- RTW Nationality / Share-code
- RTW Document expiry

Hibob integration: Background
Zinc is proud to announce our latest integration with HiBob. You can now automatically upload background checking data from Zinc directly into your people management system, saving you time downloading from Zinc and uploading to Bob. Ensure no data gets lost or needlessly downloaded, creating unnecessary risk. When reports move to complete, they are transferred into Bob with the PDF report, the link, and report status. The HiBob integration with Zinc gives customers the ability to streamline their hiring workflow by seamlessly transferring reference and background checking candidate data from one platform to another.
You can integrate Zinc with HiBob from any ATS you are using, for free.

How it works
Step 1: Create Zinc account
Create a Zinc account. Click on the payments tab to choose a plan. Then choose the type of background checks you'd like to conduct from your Checks tab.
Step 2: Manage service users
Go to service users in HiBob: Settings > Integrations (Under Account) > Click Manage under the Service Users Card (Robot Icon).
Step 3: Create service user
From the Service Users configuration page click +New Service User. Create a New Service User by entering any Service User & Display Name. Click Next. Copy the Service User ID & Token and then go to Zinc.
Step 4: Navigate to Employee Fields
From the hibob home page select Settings>Employee Fields(Under Company). A list of existing Employee field categories appears.
Step 5: Create check category
Click the + icon in the top right hand corner to Add new category. Name your new category ‘Zinc Background Checks’, optionally add a description and click Add. Your new category should be added to the bottom of the Employee field categories list.
Step 6: Create category fields
In this next step you must add all relevant Zinc fields. You can add a new field by expanding the new Zinc Background Checks category, selecting + New field in the top right corner next to Category fields and entering Name and Type under the Settings ribbon. Confirm by clicking Add.
Create a new Peoples's folder (Docs>People's folders>Add new) called "Zinc Background Checks"
It is important you add the fields with the exact field names and types listed below otherwise the integration will not work. The type of the field is indicated in brackets next to the field name i.e. (text).
- Zinc Status (text)
- Zinc Date of check (date)
- Zinc Type of check (text)
- Zinc Report link (text)
- Zinc Report (document)
Only add the following fields if you are conducting RTW checks.
- Zinc RTW Document Expiry (text)
- Zinc Document Type (text)
- Zinc Nationality or Share code (text)
- Zinc RTW Status (text)
Step 7: Create a Zinc permission Group
- From the hibob home page select Settings>Permission Groups (Under Company if you are an admin). A list of existing Permission groups appears.
- Click the + Create group button in the top right hand corner. Enter any name for your permission group.
- Under group members click Select people by condition. Click the Edit icon and remove any existing conditions using the 🗑️ icon next to the condition.
- Under Add Specific Employees>Service Users add the Service User you created in section “Add Service User” → Step 3. Click Apply and then Create and Confirm.
Step 8: Give Zinc the required permissions
- From the hibob home page select Settings>Permission Groups(Under Company if you are an admin).
- Find the permission group created in section “Create a Zinc Permission Group” and click into it.
- Select the People’s Data tab and click Edit permissions in the top right hand corner. After selecting Select people by condition click Edit in the main view.
- In this modal add 2 conditions: Lifecycle status → Equals → Employed & Lifecycle status → Equals → Hired.
- Click Apply.
- Under the Access rights within the People’s Data tab navigate and change the following:
- People > Zinc Background checks (new category created in section “Add Zinc Employee field category”) > tick all.
- People > Personal contact details > tick view section and view section histories.
- Docs>Zinc Background Checks>tick all."
- People > About > Basic Info > View selected employees' Basic info sections
Click Save and then Apply.
Step 9: Add your credentials and verify with Zinc
In Zinc, in the bottom left corner click settings, then click on the Company tab and scroll down to Integrations. Under HRIS Integrations, click 'Setup Integration' and paste the Service User ID & Token from Bob into Zinc. You will be walked through the integration where Zinc will check if you have the correct permissions and field enabled.
The following information will be transferred:
- Status
- Date of check
- Type of check
- Report link
- Report
Things to consider
- For the integration to work seamlessly, the candidate email that is sent to Zinc, must be the same as the candidate email in HiBob.
- We attempt to update HiBob every day for 3 months. This is to help scenarios where the candidate has not been onboarding onto Hibob yet.
